Location: Edmonton, Hybrid | Job Type: Full-time | Reports To: The office of the General Secretary | Position Overview: We are seeking a highly organized, detail-oriented, and creative individual to join our team as an Administrative Assistant & Social Media Coordinator. This dual-role position is an excellent opportunity for a motivated professional interested in gaining diverse experience within a dynamic non-profit environment. The successful candidate will provide essential administrative support to ensure smooth day-to-day operations while also managing the organization’s social media presence to enhance visibility, engagement, and community outreach. The ideal candidate will demonstrate excellent communication skills, a keen eye for detail, and the ability to manage multiple responsibilities with professionalism and efficiency. A passion for community-based work and digital engagement is essential.

Key Responsibilities: Administrative Support Serve as the first point of contact for our members, responding to phone and email inquiries related to membership and association programs. Provide comprehensive administrative support to the executive and project arm of the association, including scheduling and coordinating meetings, events, and appointments. Assist in the preparation, editing, and submission of grant applications and related documentation. Maintain accurate and confidential records of program participants, including registration and other information. Support the coordination and execution of internal and external events, including preparing program materials and resources. Record and distribute minutes for meetings, seminars, and presentations. Manage and update internal mailing lists to support effective communication with stakeholders. Social Media Coordination Develop and implement strategic social media plans to increase awareness, engagement, and participation in organizational programs and initiatives. Create, curate, and schedule compelling multimedia content (graphics, videos, and written posts) across platforms including Facebook, Instagram, Twitter, LinkedIn, and TikTok. Monitor social media trends and analytics to refine content strategies and identify opportunities for growth. Respond promptly and professionally to messages, comments, and mentions, fostering positive engagement with the online community. Collaborate with internal teams—including marketing, design, and program staff—to ensure cohesive and consistent messaging across all communications.

Qualifications: · High school or post-secondary students enrolled in Business Administration or Administrative Assistant courses. · Experience as an Administrative Assistant or in a similar role is an asset. Experience in managing social media accounts for a brand or organization, digital marketing or related fields is an asset. Previous experience in a non-profit or community-focused organization is an asset. Excellent written and verbal communication skills with a creative flair. Proven experience in administrative support and/or social media management. Strong written and verbal communication skills. Excellent organizational and time-management abilities. Proficiency in Microsoft Office Suite and Google Workspace. Familiarity with social media platforms, scheduling tools (e.g., Hootsuite, Buffer), and basic graphic or video editing tools (e.g., Canva, Adobe Express). Ability to work both independently and collaboratively in a fast-paced, mission-driven environment.
